Using Proposals for Commercial & Corporate Photography or Filmmaking
If you’re a commercial photographer or filmmaker, your clients often expect a detailed, professional presentation of your services before booking. Light Blue’s proposals feature makes it easy to create polished, interactive proposals that clearly outline your options, help you stand out, and make booking a seamless experience.
Why Proposals Work So Well for Commercial & Corporate Shoots
When pitching for a project, first impressions matter. A Light Blue proposal lets you:
- Present your services professionally, with space for visuals, testimonials, and even embedded videos.
- Offer flexible options, so clients can tailor packages and add extras based on their project’s scope and budget.
- Include all booking stages, from contracts and forms to payment and scheduling, in one smooth flow.
- Automatically record selections, signed documents, and payments directly into Light Blue.
Your clients get a clear, easy-to-navigate experience. You get less admin, faster decisions, and better insight into what’s been agreed.
Step 1: Create a Proposal Template
All proposals start with a template.
Head to Preferences → Proposal Templates → Add Record and create a new one for your commercial work (e.g. Corporate Photography Proposal or Film Production Proposal).

You’ll link your proposal to one of your price lists, such as Commercial Photography or Film Production, to make adding items easier.
Step 2: Build Your Proposal Blocks
Each proposal is made up of blocks. The two essentials are:
- A Packages block (so clients can choose from your main service options)
- A Summary block (to display their selections clearly)
You can then add optional blocks such as:
- Text or image blocks – to introduce your business, outline deliverables, or show portfolio images.
- Video blocks – to embed a showreel or highlight past projects from YouTube or Vimeo.
- Add-ons blocks – to offer extra services like drone footage, additional filming days, or behind-the-scenes edits.

Step 3: Create Your Packages & Add-Ons
Commercial clients often expect flexibility. You can use packages to present tiers of service, such as:
- Package A – Single-Day Shoot: 1 day on location + basic edit
- Package B – Multi-Day Shoot: 2 days filming + 2 days pre-production + social cutdown
- Package C – Premium Production: 3 days filming + cinematic edit + voiceover
You can include recommended packages to guide clients toward your preferred option.
Then, use add-ons to let clients customise their project. Examples might include:
- Additional filming days
- Drone footage
- Scriptwriting
- Voiceover recording
- Photography alongside video
Add-ons can also be conditional, so they only appear if the client selects a particular package. This is ideal if certain extras only make sense at higher tiers.

Step 4: Add Optional Stages
After your client chooses their package and add-ons, you can take them through optional next steps in the same flow:
- Scheduling Calendar – for a project consultation or pre-production meeting.
- Booking Form – to gather project details like shoot dates, locations, and creative brief.
- Contract – to confirm terms and conditions.
- Booking Fee / Deposit – to secure the project.
You can also automatically generate invoices, apply payment schedules, and set up payment reminders.

Step 5: Customise Your Proposal Emails
Light Blue automatically sends emails when:
- You publish a proposal
- A client completes it
- A reminder needs to be sent
You can duplicate the default email templates and edit them to suit your brand tone or project type (e.g. Commercial Proposal Sent, Follow-up: Your Project Proposal).
These are managed in the Emails section of the Optional Stages tab within your proposal template.
Step 6: Sending Proposals to Clients
To send a proposal:
- Open the Shoot record for your commercial project.
- Go to the Activity tab and click the green + button.
- Choose Add Proposal, then select your Commercial Proposal template.
- Check or tweak any details.
- Click Send Proposal to publish it and email your client the proposal link.
From there, your client can:
- Review your packages and add-ons
- Sign the contract
- Pay their booking fee or invoice
- Schedule a consultation
Once complete, Light Blue automatically marks the shoot as Confirmed, creates the invoice, records payments, and updates your schedule.

Step 7: Tailoring Proposals for Bespoke Projects
Commercial and corporate projects often have unique requirements.
You can use your standard proposal template as a starting point and then fully tailor it for a specific job.
When adding a proposal from a shoot record:
- Edit your existing Packages block to adjust pricing, services, or deliverables.
- Add new line items directly, even if they’re not part of your standard price list, such as hiring a hair and makeup artist or renting specialist equipment.
- Add unit costs to help you track profitability across the project.
This flexibility allows you to build accurate, professional proposals that reflect custom quotes, while still benefiting from Light Blue’s automation.
Step 8: Review, Test & Refine
Before sending to clients, use Preview in Browser to check:
- Layout and branding
- Correct package details
- All links and media (e.g. embedded videos)
You can also send a test proposal to yourself to ensure the client experience feels smooth.
